Refund & Cancellation Policy

1. Overview

NPCtrips acts as a marketplace platform connecting travelers with travel agencies. Each travel agency sets its own cancellation and refund policy for the batches they offer.

This policy outlines the general framework, but the specific terms for your booking will be determined by the travel agency's policy, which will be clearly displayed before you complete your booking.

2. Cancellation by Traveler

2.1 Standard Cancellation Timeline

Most travel agencies follow this general cancellation structure:

    30+ days before trip: 90-100% refund (minus platform fee)

    15-30 days before trip: 50-75% refund
  • warning
    7-15 days before trip: 25-50% refund
  • cancel
    Less than 7 days: No refund or minimal refund (0-25%)

Important: These are general guidelines. Always check the specific cancellation policy for your booking before confirming.

2.2 How to Cancel

  1. Go to "My Bookings" in your profile
  2. Select the booking you want to cancel
  3. Click "Cancel Booking" and follow the prompts
  4. You'll receive a cancellation confirmation via email

2.3 Platform Service Fee

The NPCtrips platform service fee is non-refundable in case of traveler-initiated cancellations. However, if the agency cancels the trip, the full amount including platform fee will be refunded.

3. Cancellation by Travel Agency

3.1 Full Refund

If a travel agency cancels your booking for any reason, you are entitled to a 100% refund including the platform service fee.

3.2 Alternative Options

In case of cancellation, the agency may offer:

  • Rescheduling to a different date
  • Transfer to a similar batch
  • Full refund

3.3 Force Majeure

In case of unforeseen circumstances (natural disasters, political unrest, pandemics, etc.), agencies may cancel trips. Refund terms in such cases will be determined by the agency's force majeure policy.

4. Refund Processing

4.1 Timeline

  • Refund Initiation: Within 2-3 business days of cancellation approval
  • Bank Processing: 7-14 business days for the amount to reflect in your account
  • Credit Card: May take 1-2 billing cycles depending on your card issuer

4.2 Refund Method

Refunds will be processed to the original payment method used for booking. We cannot process refunds to a different account or payment method.

4.3 NPC Coins

If you used NPC Coins for a discount, the coins will be credited back to your account upon cancellation (if within the coin expiry period).

5. Modification of Bookings

5.1 Date Changes

Some agencies allow date changes subject to availability and may charge a modification fee. Contact the agency directly through our messaging system to request changes.

5.2 Traveler Details

Minor changes to traveler details (name corrections, contact information) can usually be made free of charge up to 7 days before the trip.

5.3 Upgrade/Downgrade

Changes to accommodation type or package inclusions may be possible subject to availability and price difference.

6. No-Show Policy

If you fail to show up for your trip without prior cancellation:

  • No refund will be provided
  • The full booking amount will be forfeited
  • This applies even if you have a valid reason - always cancel in advance

7. Partial Cancellations

If you're booking for multiple travelers and want to cancel for some but not all:

  • Partial cancellations may be allowed subject to agency policy
  • Per-person cancellation charges will apply
  • Group discounts may be recalculated based on remaining travelers

8. Dispute Resolution

8.1 Contact Agency First

For cancellation or refund issues, first contact the travel agency directly through our messaging system.

8.2 NPCtrips Support

If you're unable to resolve the issue with the agency, contact NPCtrips support at support@npctrips.com. We'll mediate and help reach a fair resolution.

8.3 Escalation

For unresolved disputes, you may escalate to consumer forums or legal channels as per Indian consumer protection laws.

9. Travel Insurance

We strongly recommend purchasing travel insurance to protect against unforeseen circumstances. Many policies cover trip cancellations, medical emergencies, and other travel-related issues.
